SafetyOrient is a software platform for workforce orientation, credential management, and recordkeeping. SafetyOrient is not a safety consulting service, competent person service, training provider, regulatory compliance provider, or workplace safety manager.

The responsibility for OSHA compliance, workplace safety, worker supervision, and regulatory adherence remains solely with the employer, contractor, superintendent, and project management team utilizing the Service.

SafetyOrient is committed to protecting user and company information. All submitted information — including worker orientation records, uploaded credentials, project information, company details, and safety documentation — is used only for safety orientation, compliance tracking, recordkeeping, and account management.

Information is protected through secure website access (HTTPS/SSL), user login controls, restricted company-level access, and secure data storage. User information is not sold or shared with third parties except when required for service operation, legal compliance, or authorized company use.

SafetyOrient collects information provided directly by users, subscribing companies, administrators, project managers, supervisors, safety personnel, and workers when accessing or using the Service.

Information collected may include:

• Full name
• Email address
• Phone number
• Company name
• Job title or trade
• Username and login credentials
• Project assignments
• Worker identification photographs
• Government-issued identification documents
• OSHA cards and training certifications
• Trade licenses and qualification records

• Administering company, project, and worker records

• Maintaining orientation history and training documentation
• Managing project access requirements and workforce records
• Providing customer support and technical assistance

SafetyOrient does not sell personal information, worker records, company data, or uploaded documents to third parties for marketing purposes.

Information collected through the Service will be used only for purposes reasonably related to the operation, administration, security, maintenance, and improvement of the platform and the services provided to subscribing companies and their authorized users.

SafetyOrient allows subscribing companies and authorized users to upload, store, manage, review, and track worker-related information and documentation through the Service.

Such information may include, but is not limited to:

• Worker names and contact information
• Employee identification photographs
• Government-issued identification documents
• OSHA cards and safety training certifications
• Trade licenses and professional certifications
• Company-issued credentials
• Orientation acknowledgments and completion records
• Safety questionnaires and training responses
• Electronic signatures and digital acknowledgments
• Project access records and badge information
• Other workforce compliance documentation uploaded by authorized users

All uploaded documents and worker information are provided by subscribing companies, workers, employers, contractors, subcontractors, or authorized representatives. SafetyOrient does not independently verify the authenticity, accuracy, validity, expiration status, or regulatory compliance of uploaded documents or information.

The subscribing company is solely responsible for reviewing, validating, maintaining, updating, and managing worker records and uploaded documentation.

SafetyOrient processes and stores such information solely for the purpose of providing the Service, facilitating workforce management, maintaining records, supporting compliance tracking, generating reports and badges, and enabling platform functionality requested by authorized users.

SafetyOrient is a workforce orientation, credential management, and recordkeeping platform.

SafetyOrient does not provide safety supervision, competent person services, OSHA compliance verification, regulatory compliance management, hazard assessments, training certification services, workplace safety consulting, or project safety management services.

Employers, contractors, subcontractors, project owners, and site management remain solely responsible for worker supervision, worker qualifications, regulatory compliance, training requirements, hazard identification, workplace safety, and all OSHA compliance obligations.

Completion of an orientation through SafetyOrient does not certify a worker as competent, qualified, authorized, trained, or compliant with OSHA, state regulations, owner requirements, union requirements, or project-specific requirements.

SafetyOrient does not sell, rent, lease, or trade personal information, worker records, company data, project information, uploaded documents, or other user information to third parties for marketing or advertising purposes.

Information may be shared only under the following circumstances:

• With authorized users within the subscribing company who have been granted appropriate access permissions
• With service providers, hosting providers, cloud infrastructure providers, and technology partners that assist in operating, maintaining, securing, and supporting the Service
• To comply with applicable laws, regulations, legal processes, court orders, subpoenas, or governmental requests
• To protect the rights, property, security, integrity, or safety of SafetyOrient, its users, subscribing companies, or the public
• To investigate suspected fraud, unauthorized access, security incidents, violations of law, or violations of platform policies
• In connection with a merger, acquisition, reorganization, financing, sale of assets, or other corporate transaction involving SafetyOrient
• With the express authorization or consent of the subscribing company or the individual to whom the information relates

SafetyOrient requires third-party service providers that process information on its behalf to implement reasonable safeguards designed to protect the confidentiality and security of information entrusted to them.

Except as described in this Privacy Policy, SafetyOrient will not disclose personal information, worker records, company data, project information, or uploaded documents to unauthorized third parties.

SafetyOrient implements commercially reasonable administrative, technical, and physical safeguards designed to protect personal information, worker records, project data, uploaded documents, and company information stored within the Service.

Security measures may include:

• Encrypted data transmission using secure communication protocols
• Secure user authentication and access controls

• Role-based permissions and restricted data access

As a result, SafetyOrient cannot guarantee absolute security and makes no warranty that information will be immune from unauthorized access, cyberattacks, data breaches, system failures, or other security incidents.

Users are responsible for maintaining the confidentiality of their login credentials and for promptly notifying SafetyOrient of any suspected unauthorized access to their account.

By using the Service, users acknowledge and accept the inherent risks associated with electronic communications, cloud-based services, and internet-connected systems.

In the event of a confirmed security incident affecting customer information, SafetyOrient will make commercially reasonable efforts to notify affected customers without unreasonable delay and in accordance with applicable laws and regulations.

All worker records, project records, uploaded documents, certifications, orientation records, badges, forms, reports, company information, and other data submitted to the Service remain the property of the subscribing company or the party that provided such information.

SafetyOrient does not acquire ownership rights to customer data through operation of the Service.

The subscribing company retains full responsibility for the accuracy, maintenance, management, and lawful use of information submitted to the platform.

Uploaded files (such as OSHA cards, driver's licenses, and certifications) are accepted in approved formats including PDF, JPG, and PNG. Files are stored securely and accessed only by authorized company administrators and the workers who submitted them.

Users acknowledge and agree that electronic signatures, digital acknowledgments, initials, checkbox confirmations, and other electronic actions submitted through the Service may be used as evidence of participation, completion, review, acknowledgment, acceptance, or agreement regarding orientation materials, project requirements, safety policies, training records, and other platform content.

Such electronic records may be retained and relied upon by subscribing companies for recordkeeping and compliance purposes.

Each subscribing company has its own isolated workspace. Company administrators can only view and manage their own projects, workers, and documents. Workers access their orientation records through secure, project-specific QR codes.

SafetyOrient may use cookies, session cookies, local storage, tracking technologies, and similar tools to improve platform functionality, enhance user experience, maintain account sessions, analyze system performance, and support security features.

These technologies may be used to:

• Authenticate users and maintain secure login sessions
• Remember user preferences and settings
• Improve website performance and functionality
• Monitor platform usage and user interactions
• Analyze traffic patterns and system performance
• Detect unauthorized access attempts and security threats
• Troubleshoot technical issues and improve user experience

SafetyOrient may utilize third-party analytics, monitoring, or performance tools to better understand how users interact with the Service and to improve platform reliability and functionality. Such tools may collect technical information including browser type, device information, operating system, IP address, usage activity, and session data.

• Request deletion of certain personal information, subject to legal, contractual, operational, or regulatory retention requirements

Requests related to worker records, certifications, project information, orientation records, badges, or company-managed information may need to be directed through the subscribing company that controls and manages the applicable account.

SafetyOrient reserves the right to verify the identity and authority of any individual submitting a request before processing such request. Certain requests may be denied, limited, or delayed where permitted by law, required for security purposes, necessary to protect the rights of others, or required to comply with legal, contractual, or regulatory obligations.

Users may also update certain account information directly through their account settings where such functionality is available.

SafetyOrient is intended for use by businesses, employers, contractors, subcontractors, project owners, authorized representatives, and workers involved in construction, industrial, commercial, and workforce management activities. The Service is not directed to children under the age of thirteen (13), and SafetyOrient does not knowingly collect personal information from children.

Users must be at least eighteen (18) years of age or otherwise authorized by their employer or sponsoring organization to use the Service.

If SafetyOrient becomes aware that personal information has been collected from a child in violation of applicable law, reasonable steps will be taken to remove such information from the Service as soon as practicable.

Parents, guardians, employers, or authorized representatives who believe that a child has provided personal information through the Service may contact SafetyOrient to request review and removal of such information, subject to applicable legal requirements.

SafetyOrient does not knowingly market to, solicit information from, or provide services directly to children.

SafetyOrient retains information according to the following schedule:

• Worker Orientation Records: Active subscription plus seven (7) years
• Uploaded Credentials and Certifications: Active subscription plus three (3) years
• Project Records and Reports: Active subscription plus seven (7) years
• Audit Logs and System Activity Records: Active subscription plus seven (7) years
• Administrative User Accounts: Until deletion or account termination

SafetyOrient may retain backup copies for disaster recovery, legal compliance, security monitoring, and business continuity purposes.

Information submitted to the Service may be stored, processed, and maintained in the United States or other locations where SafetyOrient or its service providers maintain operations.

By accessing or using the Service, users consent to the transfer, storage, and processing of information in jurisdictions that may have different privacy and data protection laws than those in their country of residence.

SafetyOrient utilizes trusted third-party providers to support the operation of the platform, including but not limited to:

• Base44 — Application hosting, database infrastructure, and platform services
• Resend — Transactional email delivery and notification services

These providers receive only the information necessary to perform their services and are required to implement reasonable safeguards to protect information processed on behalf of SafetyOrient.
